Terms & Conditions and Privacy Notice

TutorPip · version 2026-10-29 · operated by VEA Group Holdings

1. About these terms

TutorPip is an app run by VEA Group Holdings ("we", "us"). It turns photos of schoolwork into practice lessons and helps you see where a learner needs more support.

By creating an account you agree to these terms and to how we handle information as described below. If you don't agree, please don't use TutorPip.

2. Who can create an account

Accounts are for parents, guardians and other adults aged 18 or older. If a child uses TutorPip, an adult must create the account, set it up for them, and supervise their use.

By adding a child's name, grade, homework or school results, you confirm that you are that child's parent or legal guardian, or have their permission.

3. Your account

Keep your password private and use one you don't use elsewhere. You're responsible for what happens on your account. Tell us straight away if you think someone else has used it.

You can log out at any time, and you can delete your account in Settings, or on the web at pencil-pal-api.1985edw.workers.dev/delete-account. Deleting it removes your email address, password and any problem reports linked to it from our system immediately.

4. What TutorPip is, and isn't

TutorPip is a learning aid. Its lessons, answers, explanations and suggestions are created automatically by artificial intelligence (AI) and can be wrong. Always check with the learner's teacher and school materials, especially before tests and exams.

TutorPip does not replace a teacher, tutor, school report or professional assessment, and its suggestions are not educational, psychological or medical advice.

Use TutorPip to practise and understand, not to hand in its answers as the learner's own work.

If a lesson contains something wrong or inappropriate, tap the flag (Report a problem) in the lesson. We review every report.

Pocket money is a record of money a parent chooses to give for finished lessons. TutorPip does not hold, send or pay out money, and rand amounts shown in Pocket money have no value outside the app.

5. Acceptable use

Only photograph schoolwork and school reports. Don't upload photos of people, ID documents, or anything unlawful, offensive or that you don't have the right to share.

Don't try to break, copy, overload or misuse the app or its servers.

6. Your privacy (POPIA)

We follow South Africa's Protection of Personal Information Act (POPIA). VEA Group Holdings is the responsible party for your information.

What we keep on our servers: your email address, your first name, surname and (if you give it) mobile number, a securely scrambled (hashed) version of your password, the date you accepted these terms, sign-in sessions, and any problem reports you send (the lesson step you reported and your note). We never store your password itself.

How the app is used, and crash reports: to fix problems and improve lessons, TutorPip sends us simple usage events (for example "lesson finished, 3 stars, Grade 2 Maths", screens opened, errors seen) and crash reports (the error and the screen it happened on), with the app version and a random number made for this installation. We don't use advertising IDs, third-party trackers or the learner's name for this. Usage events are deleted after 180 days and crash reports and logs after 60 days.

Early access on our website: if you sign up for early access, we keep your name, email address and cellphone number, the date you signed up and a scrambled (hashed) version of your internet address to stop spam. If you invite friends, we keep only each friend's name and cellphone number and send them one WhatsApp invite through Twilio (our messaging provider), saying who invited them. We use these details only for the launch, early-access offers and to credit referral months, never sell or share them, and delete them when asked (reply STOP, unsubscribe, or email us). Only invite friends who are happy to hear from us.

What stays on your phone: the learner's name and grade, saved lessons, practice results and grade reports. These are not stored on our servers.

What we send to service providers to make TutorPip work: photos you take, the learner's first name and grade, and lesson text are sent through our server to Anthropic (Claude AI) to read the work and create lessons; the words Pip speaks are sent to Amazon Web Services (Amazon Polly) and Microsoft Azure to create the voice; payments are handled by Paystack, which receives your email address and card details directly (we never see your card number); our server runs on Cloudflare. These providers process the information on our behalf, may do so outside South Africa, and are bound by their own security and privacy commitments. Photos are used only to create the lesson or report you asked for; we don't keep them.

We don't sell your information, show adverts, or use it for marketing.

Children's information: we process a child's information only with the consent of the parent or guardian who set up the account, and only to provide TutorPip.

Your rights: you may ask what information we hold about you, ask us to correct or delete it, and object to its use. You can delete your account in Settings at any time. You may also complain to the Information Regulator (South Africa) at inforegulator.org.za.

7. Microphone and camera

TutorPip uses the camera only when you take a photo of schoolwork, and the microphone only when a learner taps the microphone to read aloud. Speech is turned into text by your phone's speech service to check the reading.

8. Changes and availability

We may improve, change or pause TutorPip at any time. If we change these terms in a way that matters, we'll ask you to accept the new version in the app.

TutorPip is provided "as is". As far as the law allows, we are not responsible for losses that come from relying on its lessons or suggestions. Nothing in these terms limits rights you have under the Consumer Protection Act.

9. Contact

Questions, privacy requests or complaints: contact VEA Group Holdings using eugene@veagroup.co.za.

These terms are governed by the laws of the Republic of South Africa.

Delete your account

In the app: Settings → Delete account. On the web: delete your TutorPip account.
